What each plan includes, how articles and translation words are counted, what happens when you hit a limit, and how Paddle handles payment, VAT and invoices.

TidyKB is priced by the size of the help center it looks after, monthly, with no minimum term and no sales call. This page is the arithmetic behind that: what each plan includes, how the two numbers that matter are counted, and what happens when you reach one.

The plans

Starter is $29 a month for up to 300 articles, Team $59 for up to 2,000 plus translation sync, and Pro $119 for up to 10,000 plus a daily scan. Free is the public audit, saved to an account. The table scrolls sideways on a phone:

The free plan is the public audit saved to an account: it reads your public help center, needs no API key, and shows the top issues per audit with a shareable report link that is never indexed. It does not include the private scan — connecting Freshdesk is free, but scanning it is what a plan buys.

Annual billing costs ten months instead of twelve. There is a founding offer on the pricing page while it lasts: one payment for twelve months of Team, fully refundable until 7 December 2026.

The free trial

A new workspace starts on a 14-day free trial of Team: the private scan, find & replace with undo, translation sync and the glossary, all of it, with no payment details asked for and none taken. The app shows how many days are left, and an email goes out in the last few days and once more when the trial is over.

Nothing happens on its own at the end because there is nothing to happen: no card is held, so the trial cannot turn into a subscription and there is nothing to cancel. On day fifteen the workspace is on the Free plan — scheduled and manual scans stop, and your scans, issues, settings and translation drafts stay exactly where they are. Choose a plan whenever you like and the next scan carries on from the last one. One trial per workspace.

How articles are counted

Each solution article in your portal's primary language counts once, published or draft. Translations are free. A 300-article help center in four languages is 300 articles against your plan, not 1,200 — which is deliberate, because keeping translations in sync is the job, not a surcharge.

The limit is per scan, not per month: it is how much of your knowledge base one scan reads, and it resets with every scan.

How translation words are counted

Source words, in UTC months, reset on the 1st.

A word is counted when TidyKB actually sent that article's text to the model. That means both the drafts that came back fine and the drafts that failed validation, because the call went out and was paid for either way. Rows that were skipped before anything was spent — over quota, not on your plan, edited by a human, already in sync, source gone — count nothing.

The quota is checked before a batch starts, using the same count the pipeline will use, so a batch you are not allowed to run never starts and never costs you anything. Two batches running at once can overshoot by at most the article each is already translating.

Disconnecting does not refund the quota

The month's spend is the higher of the live job rows and the recorded monthly figure, so disconnecting and reconnecting a Freshdesk account cannot hand you back words you have already used.

What happens at a limit

Nothing is ever charged automatically, and no limit turns into an invoice.

  • More articles than your plan allows. The scan reads up to the limit and tells you how many articles it did not read. It then stops claiming things it cannot know: links into the part it never read are not called dead, and empty folders and forgotten drafts are left out of that scan. Upgrade, or narrow what you scan.
  • Out of translation words. The rows that would have gone over are skipped with "quota exceeded", the page says how many words are left and when they reset, and nothing is spent.
  • A feature is not on your plan. You are told which plan has it, in one sentence, before anything starts.
  • A second Freshdesk account. TidyKB shows one connection per workspace today, so a second is refused with "Disconnect the current one first" — including on Pro, whose plan line offers three. That is the honest answer, not an upgrade prompt: the third account arrives when the multi-account screens do.

Paying, invoices and VAT

Paddle is our merchant of record. You buy from Paddle, not from us: Paddle takes the card or issues an invoice, handles sales tax and VAT for your country, and is the name on your statement and on the receipt your finance team files.

Checkout happens on the billing page, in a few seconds, with no demo and no call. Your plan updates as soon as Paddle confirms the payment.

Cancelling and downgrading

Cancel from the billing page at any time; plans are monthly with no minimum term. If a single cleanup is all you need, run it in your first month and cancel.

When a plan ends or is downgraded, the entitlement follows the money and the limits follow the entitlement. Two things deliberately do not:

  • Undo keeps working. Putting back a change TidyKB made asks only for an edit key and the global safety switch — never your plan. A cancelled subscription must not be able to hold our write in your help center.
  • Your data is not deleted on cancellation. It goes when you disconnect: both API keys immediately, and the working copy plus the snapshots undo needs after 30 days. "Delete my data" on the connection page removes everything straight away.

What counts as an article?

Is annual billing cheaper?

Yes: an annual plan costs ten months instead of twelve, so Starter is $290 a year instead of $348, Team $590 instead of $708 and Pro $1,190 instead of $1,428. You can switch between monthly and annual on the pricing page.

What happens to my data when I cancel?

Cancelling a subscription drops the workspace to the free plan; disconnecting deletes both Freshdesk keys immediately and holds the working copy — articles, findings and the snapshots undo needs — for 30 days, after which it is deleted. “Delete my data” on the connection page removes all of it straight away.
